A letter is a message that is written down or printed on paper and usually put in an envelope and sent to somebody. Printed letters are always stored for important professional purpose example is cover letter. It is conveyed through a medium ranging from hand to hand to online, it depends with how the sender can send. Letters has a played a great role in communication, there are two types of letters formal or informal, it depends with the purpose and message to be passed to the recipient. When writing a letter you should know well on who you are addressing to avoid mistaking on your ideas.

Whenever you know the person you are addressing you write directly sir or madam unlike when you are not sure of whom you are addressing where you indicate Dear Sir/madam. The salutation comes right after the addresses. You also have to write the reason of writing the letter, after the salutation and you must underline it. Always make sure you arrange your thoughts and ideas in its own paragraph.

When writing a letter paragraph you should always be talking of yourself and why you are writing the letter. You should make sure that it is clear for the reader to understand easily on your target. Always make sure that you give a description of yourself and what you want from the recipient. On the other paragraphs make sure you support your ideas well that are written on the first paragraph.Make sure you either skip a line in between paragraphs or before beginning the next paragraph you leave a space and start your paragraph almost halfway the line.

When writing a formal letter, it should be official because it is for official purpose like when applying for a job or inquiring for something. You should make sure it has two addresses that of the sender and the recipient. Informal letter should only include the sender’s recipient and you should not make it that official. When writing an informal letter there is no restriction of which language to use since it is a friendly unlike the formal one which you should use a certain language because you might be addressing somebody you don’t know.

Everything with a beginning should have an end and so when writing a letter, you should sign off whenever you finish writing all your ideas, you should write it down on your left hand side. There are many ways of signing off, if it is an official letter, it is advisable to use yours sincerely while in informal letter you can use any signing off words such as yours faithfully, lovely, friendly and many more. It is a necessity for if you don’t sign off your letter will be considered incomplete. Make sure you use the right way of sighing off from writing when writing formal letters to be always on the right side.

A letter has been used in many ways, you can remember some years back in school letters were used as the main way of communication. When students met on functions they could exchange a lot of letters, which were illegal. Many companies receive a lot of letters when people are applying for jobs, they are received online, through postal office or people drops letters personally to the given area. Some people do not know the right format to write a letter when applying and they end up messing and if they are applying for a job they end up being disqualified .
